Job required:
The V&A is seeking an efficient, reliable and motivated PA to support the director of design, exhibitions and futureplan managing their time and communications in a busy working environment across multiple departments.

£26,542 per annum

Requirements:

  • experience of working in an architectural practice, design studio or large scale building project
  • experience in a similar role in a busy and demanding office environment
  • excellent communication skills: very high standards of written and spoken English and a good telephone manner
  • excellent inter-personal skills: demonstrable experience of dealing with people at all levels and consistently maintaining a professional demeanour. Tact, diplomacy and discretion are important as some matters will be highly sensitive or confidential
  • excellent organisational and administrative skills, including diary management and document/file management
  • first-class secretarial and presentation skills. High proficiency in word processing, spreadsheet/database and presentation programmes (InDesign/PowerPoint). Effective use of email and internet (training in V&A systems will be given)
  • ability to prioritise workload and respond flexibly to changing circumstances
  • capacity to work with considerable independence, though within a team framework
  • interest in the V&A, architecture, art and design, cultural heritage, creative industries

Desirable requirements:

  • evidence of ability to undertake basic research in diverse fields
  • Experience of acting as a committee secretary, including agenda preparation, minute taking, circulation of papers
  • relevant undergraduate degree (or equivalent)

The V&A is seeking an efficient, reliable and motivated PA to support the director of design, exhibitions and futureplan managing their time and communications in a busy working environment across multiple departments.

This is an exciting time to join the V&A, as the museum is embarking on a number of ambitious projects in South Kensington and elsewhere.

This role would suit an energetic and highly organised individual with an interest in architecture, arts and design.

Main tasks:

  • be the primary point of contact for all enquiries (internal and external) to the director of design, exhibitions and futureplan. Take action as appropriate, including briefing the director
  • manage and plan the director’s diary, including overseas travel
  • manage the director’s correspondence (paper and electronic), sift and prioritise incoming mail, respond/redirect as appropriate and monitoring/keeping track as necessary. Draft and prepare outgoing communications. Maintain the director’s contacts information and filing systems
  • arrange meetings for the director, including extensive sets of meetings. Ensure the director is fully prepared and briefed for all meetings and events and has a full understanding of all relevant circumstances
  • be secretary to designated committees and groups as required by the Director e.g. trustee committees. Prepare meeting agendas and take minutes
  • prepare reports, briefings and presentations as required by the director. Undertake background research on behalf of the director on a wide range of issues and topics as requested
  • be familiar with all parts of the division in particular and V&A in general so as to be confident in internal and external liaison
  • ensure office systems and standards are adhered to and that the office operates smoothly at all times
  • to provide support for other directors during periods of annual leave and/or absence where necessary
  • be committed to health and safety and ensure familiarity with all of the museum’s health and safety policies and procedures
  • be security conscious, ensure familiarity and co-operation with all museum security procedures and ensure you wear a security pass at all times when on museum premises
  • promote equality and diversity in all aspects of your work by developing and maintaining positive working relationships, ensuring that colleagues are treated fairly and with respect/dignity and actively contributing to developments that support the museum’s strategy for widening access, inclusion and diversity
  • carry out ad hoc duties as requested by appropriate managers within your department
